1. Who this notice applies to
This notice applies to personal data we process as a controller about website visitors, prospective clients, clients and their staff, suppliers, business contacts, event attendees, interviewees, filmed or recorded contributors and other people who interact with Revolution Media & Events Ltd or Acuity Beacon.
Where we process personal data solely on behalf of a client as that client’s processor, the client determines the purposes of that processing and its own privacy notice will normally apply. Our processor obligations are addressed separately in our contractual terms.
Our website and services are primarily intended for business users and are not directed at children. Where a production or project legitimately involves a child or vulnerable person, we will apply appropriate additional safeguards and permissions.
2. Personal data we may collect
Depending on how you interact with us, we may collect the following categories of personal data.
Identity and contact information, such as your name, job title, organisation, business email address, telephone number, postal address and other contact details.
Enquiry and relationship information, including details of enquiries, proposals, meetings, communications, preferences, requirements, project history and our relationship with you or your organisation.
Client and service information, including information needed to provide agreed services, project records, approvals, feedback, account details, business information and information you provide during strategy, research, production or other work.
Payment and transaction information, including billing address, invoices, subscription status, payment status and transaction references. Payment-card details are normally processed directly by our payment service provider rather than stored by us.
Website and technical information, which may include IP address, device and browser information, pages visited, referral information, timestamps, cookie identifiers and information about how the website is used, depending on the technologies enabled on the site and your cookie choices.
Marketing information, including communication preferences, campaign interactions and records of whether you have opted out of marketing.
Communications, including emails, meeting notes, messages, support requests and other correspondence.
Media and contributor information, including photographs, video, audio recordings, interview responses, job title, organisation and other information captured or supplied in connection with filming, testimonials, interviews, events or production work.
Information from public or third-party sources, where relevant to legitimate business research, due diligence, prospect research, buyer research or service delivery.
We do not intentionally seek special-category personal data or criminal-offence data unless it is genuinely necessary for a particular lawful purpose and appropriate safeguards are in place.
3. How we collect personal data
We may collect personal data directly from you when you contact us, complete a form, book a meeting, subscribe to a service, make a payment, attend an event, participate in filming or an interview, communicate with us or otherwise engage with our business.
We may also receive personal data from your employer or organisation, a client, a referral source, a business partner, publicly available professional sources, event organisers, service providers or other legitimate sources.
Some technical information may be collected automatically when you use our website, subject to applicable cookie and privacy rules.
4. Why we use personal data and our lawful bases
We process personal data only where we have a lawful basis under applicable data-protection law.
Enquiries and pre-contract activity. We use contact and enquiry information to respond to questions, arrange meetings, prepare proposals and take steps requested before entering into a contract. Our lawful basis may be steps taken at your request before a contract, performance of a contract, or our legitimate interests in developing and operating our business.
Providing products and services. We use client, project, communication and relationship information to deliver contracted products and services, manage projects, obtain approvals, communicate with client teams and administer our relationship. Our lawful basis may be performance of a contract or our legitimate interests in providing services to business clients and managing business relationships.
Payments, accounting and administration. We use billing, transaction and business-contact information to collect payments, issue invoices, manage subscriptions, maintain records and meet legal, tax and accounting obligations. Our lawful bases may include performance of a contract, compliance with legal obligations and our legitimate interests in financial administration.
Business operations and security. We use information where reasonably necessary to operate, secure, troubleshoot and improve our systems, website and services, prevent misuse or fraud, maintain records and protect our legal rights. We rely on our legitimate interests where those interests are not overridden by the rights and interests of the individual, and on legal obligations where applicable.
Marketing and business development. We may use business contact details and relationship information to communicate about relevant products, services, events or opportunities where permitted by applicable law. Depending on the circumstances, we may rely on consent or our legitimate interests. Electronic marketing is also subject to the Privacy and Electronic Communications Regulations. You can opt out of marketing communications at any time.
Website analytics and non-essential technologies. Where non-essential cookies or similar technologies require consent, we rely on that consent before using them. Strictly necessary technologies may operate without consent where the law permits.
Filming, interviews and contributor activity. We may process identity, contact, image, voice and contribution information to organise, record, edit, publish and manage agreed productions. The lawful basis will depend on the circumstances and may include performance of a contract, legitimate interests or consent. Where consent is the appropriate basis, it may be withdrawn subject to applicable law and any processing already lawfully carried out.
Legal and regulatory matters. We may process information to comply with law, respond to lawful requests, establish or defend legal claims, enforce agreements and protect people, property and business interests.
5. Legitimate interests
Where we rely on legitimate interests, those interests may include operating and developing our business, providing and improving services, managing B2B relationships, understanding prospective and existing clients, protecting systems and information, preventing fraud, maintaining appropriate records, communicating with relevant business contacts and protecting our legal rights.
We consider whether the processing is necessary and balance our interests against the rights and reasonable expectations of the people concerned.
6. Cookies and similar technologies
Our website may use cookies and similar technologies for functions such as security, site operation, preferences, analytics, embedded media and other website features.
Strictly necessary cookies or technologies may be used where they are required to provide a service you have requested or to operate the website securely.
Where consent is required for analytics, advertising, tracking, embedded third-party technologies or other non-essential purposes, those technologies should not be activated until valid consent has been obtained.
You should be able to manage non-essential cookie choices through the website’s cookie controls where those technologies are used. The current cookie controls or separate cookie information should identify the technologies in use, their purposes and relevant retention periods.
7. Who we share personal data with
We may share personal data where reasonably necessary with service providers and other recipients including:
IT, cloud-storage, email and collaboration providers;
website hosting, technical-support and security providers;
CRM, project-management, scheduling and communications providers;
payment and billing providers, including payment processors such as Stripe;
analytics and website-service providers;
production, transcription, editing, design, research and AI-assisted service providers;
freelancers, contractors and specialist suppliers involved in delivering agreed services;
professional advisers such as accountants, lawyers and insurers;
regulators, courts, law-enforcement bodies or public authorities where disclosure is legally required or otherwise lawful; and
a purchaser, investor, successor or adviser in connection with a genuine sale, restructuring, investment or transfer of all or part of the business, subject to appropriate confidentiality and legal safeguards.
We require service providers handling personal data for us to do so under appropriate contractual and data-protection arrangements.
8. International transfers
Some of the service providers we use may process or make personal data accessible outside the United Kingdom.
Where a restricted transfer is made, we will use a lawful transfer mechanism where required. Depending on the destination and provider, this may include UK adequacy regulations, an approved contractual safeguard such as the UK International Data Transfer Agreement or the UK Addendum to recognised standard contractual clauses, or another mechanism permitted by applicable law.
You may contact us if you would like more information about the safeguards relevant to a particular transfer.
9. How long we keep personal data
We keep personal data only for as long as reasonably necessary for the purposes for which it was collected, including to provide services, maintain appropriate business and financial records, comply with legal obligations, resolve disputes and establish or defend legal claims.
Retention periods vary according to the type of information and context. In deciding how long to keep information, we consider the nature and sensitivity of the data, the purpose for which it is used, contractual requirements, legal and regulatory requirements, the risk associated with continued retention and whether the same purpose can be achieved with less data.
Specific Service Schedules or project terms may set retention periods for certain production materials, recordings or project files.
Marketing records may be retained for as long as relevant to our business relationship or marketing activity, including retaining suppression information where necessary to respect an opt-out.
Cookie and website-technology retention depends on the technologies actually in use and should be described in the website’s cookie controls or related cookie information.
10. Data security
We use reasonable technical and organisational measures designed to protect personal data against accidental or unlawful loss, alteration, disclosure, destruction or unauthorised access.
Access to personal data is limited where reasonably appropriate to people and service providers who need it for legitimate business purposes and who are subject to appropriate confidentiality or contractual obligations.
No electronic storage or transmission system can be guaranteed to be completely secure.
11. Your data-protection rights
Depending on the circumstances and the lawful basis for processing, you may have rights to:
be informed about how your personal data is used;
request access to your personal data;
ask us to correct inaccurate or incomplete personal data;
ask us to erase personal data in certain circumstances;
ask us to restrict processing in certain circumstances;
object to certain processing, including processing based on legitimate interests;
object at any time to the use of your personal data for direct marketing;
receive certain personal data in a portable format where the right to data portability applies; and
withdraw consent where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal.
These rights are not absolute and may not apply in every circumstance.
To exercise a right, contact team@acuitybeacon.com. We may need to verify your identity before acting on a request.
12. Automated decision-making and AI-assisted tools
We may use AI-assisted or automated tools to support research, transcription, analysis, production, administration and other business activities.
Unless we tell you otherwise in a specific context, we do not use solely automated decision-making that produces legal effects or similarly significant effects about individuals.
Where personal data is processed using an AI-assisted service, the same data-protection principles and relevant contractual safeguards apply.
13. Third-party websites and services
Our website may contain links to websites or services operated by third parties. We are not responsible for the privacy practices of organisations that independently determine how they use personal data.
You should review the privacy information provided by those organisations when using their services.
14. Complaints
If you have concerns about how we use your personal data, please contact us first so that we can try to resolve the issue.
You also have the right to complain to the UK Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. Information about making a complaint is available at https://ico.org.uk.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal obligations or processing activities.
The current version will be published on the Acuity Beacon website. Where a change is material and it is appropriate to do so, we may take additional steps to bring it to the attention of affected individuals.
